The Principles of using electronic forms of written communication is it quicker to send and receive emails but you need to have your emails protected as anyone can read it and use the information , it is also a lot cheaper,saves paper and resources. It is also environmental friendly as waste has been decreased, however with electronic forms of communication you need to make sure it is backed up

The reason for using language that suits the purpose of the written communication is to get your point of view and message across to others,you will need to change the language you use according to the audience you are talking to. The language we use has to be easily understandable for everyone

Identify different sources of information that may be used when preparing written communication 

Firstly there are two relevant sources and these are Primary Sources and Secondary Sources 

You then need to describe what each sources and what they are, so for

  • Primary source you can say something like, Primary source is information that is seen or heard directly by a person and is also information gathered by a person that was there at an incident or event, and they can be either find in a Diary,Letters Newspapers or when attending an interview 

  • Secondary Source you could say that us is information seen or heard from somebody else and can be interpreted, or analysed data from a primary source, they can be either books,documents and recordings 

Describe the communication principles for using electronic forms of written communication in a business environment 

 

Describe ways of organizing,structuring and presenting written information so it meets the needs of the audience

When organizing,structuring and presenting documents you have to consider the all of the following things:

  • Prepare all the documents for presentation, sorting them out by what has to be delivered,making sure that the documents are in an appropriate order, so when delivered to an audience the communication goes into a proper flow without confusing the audience or making any errors 

  • When presenting the documents you need to go straight to the point,you need to organize the documents into relevant points, Intro,who you are and why you are here, why the attendees are there and why it is important , When presenting the document, you need to speak clear and use the proper resources if needed

  • At the end of the presentation,you need to close it down making clear that all of the points was covered and everybody understood them, you can do this by asking questions and answering them 

Describe ways of checking for the accuracy of contents in written information 

Any written forms of communication has to be thoroughly checked making sure there is no spelling mistakes and grammar mistakes, the best way to do this is proof read it even thou most computer software has spell checker it is not always accurate because you could type in a word instead of another and it won't be picked up 

Every single document that has been written has to be accurate otherwise there can be disastrous effects and can ruin the reputation of the company, you need to make sure you have double checked everything such as 

  • Dates

  • Names

  • Events

  • Statistics

  • Minutes etc 

if you are ensure of anything double check with a team member before you finalize the document 

Every organisation has a different style for there documents that they produce,you need to be accurate when producing new templates as you will need to find a suitable style for your document that you produce 

Explain the purpose of accurate use of grammar,punctuation and spelling 

The main purpose of accurately using grammar,punctuation and spelling is ensuring the receiver of the information 

understands and reads the document accurately . If you don't use grammar,punctuation and spelling accurately ,readers tend to distrust anything you say including the statistics,opinions and facts and probably would read anything you wrote again 

Explain what is meant by plain English, and why it is used 

Plain English is plain language used for communication that emphasizes clarity and avoids any technical language. 

Plain English is used so that what you communicate is easily understood by everyone and is appropriate to their reading skills and knowledge.

Plain Language is clear and direct,simple and straight forward

 

Explain the need to proof read and check written work 

 

We need to proof read and check written work because the work we produce is very important, the way information has been produced affects the way others judge it. if the document has errors it will create a bad impression to the reader which affects the name of the organization
