
Unit 205: Work with other people in a business environment
This whole unit is based on a organisation you have worked in or are working in or a organisation you have chosen, for me i based this unit around Bartlett Property as i was doing a business and admin apprenticeship there
1) Understand how your role fits with organisational values and practises
1.1.Describe the sector in which your organisational operates
( So what you need to do if you don't have a work placement is choose a organisation and describe what sector they are in and then describe the sector, for me i did an apprenticeship at Bartlett Property so i used this)
The sector that my organisation,Bartlett property Ltd operates in is Chartered surveyors and Commercial Property Consultants.
Chartered surveyors are property professionals regulated by the RCIS( Royal institution of chartered surveyors) who offer constructive advice on properties.They don't only value properties,they advice on the construction acquisition,development,management and disposal of the property.Chartered surveyors valuate these properties and then try and sell them.
1.2 Describe your organisation missions and purposes
( I used the information that was on there websites and then listed the source )
Bartlett Property's mission is to provide quality advice at a level you will unlikely be used to- clear,honest,succinct and valuable,our purpose is to provide a truly informed,professional and experienced service. (Source: www.bartlettproperty.co.uk)
1.3 Compare your organisations to other types of organisation in your sector.
( Here i did some research on other organisations in commercial properties by looking at various websites and decided to compare Bartlett property against Miller Mercalfe Surveyors)
I have compared Bartlett Property against Miller Metcalfe Surveyors using there webpages and have noticed many different things such as the company Miller Metcalfe allows you to choose surveys that you want and need,both for sellers and buyers and if you are not sure about what surveys you are likely to need then you can compare them,you can also check to see what areas they are covering by putting a postcode in,however even thou you can do this using Bartlett Property webpage i noticed that Miller Metcalfe deals with a lot more areas all over the West Midlands. Miller Metcalfe also had a customer's page where customers are allowed there say. Bartlett Property however deals with a lot more sectors.
1.4 Outline your Responsibilities
( I basically just wrote my Job description but used bullet points to outline the main points i do on a daily basis)
My Main responsibilities as a business administrator at Bartlett Property is to :
⦁ Answer the phone in a polite manner,always making sure that i speak slowly and clearly
⦁ Takes messages,this is something i do on a daily basis and when i take messages i need to make sure i take the person name and contact details and always ask them what it is regarding do i can pass the information on to the relevant person
⦁ Send emails, again taking the correct details and always sending the PDF version of document if need be, i have to make sure i put the property address in the subject box or the appropriate subject depending on what i am sending and save the email in the relevant file and print of a copy and put it into the relevant file also

⦁ Sorting mail- when i sort the mail i have to date each piece and put them in the relevant file if that person is going to be away for a couple of days then the mail will be passed on to the relevant person

My role fits into the organisational structure because as i learn how to do my task efficiently and how to answer the phone and take messages by doing so i am helping out my manager or supervisor in their everyday tasks
1.6 Describe how your role contributes to the organisations operations
By having these responsibilities i am contributing to the organisations operations by answering the phone,taking messages and emailing particulars to clients on our mailing list and also those that are interested in the property which in turns helps in running the business
1.7 Outline the policies,procedures,systems and values of your organisation that are relevant to your role
There are many different policies ,procedures,systems and values that are relevant to my job role at Bartlett Property , i am obliged to act in accordance with the Data protection at as i am required to take personal information from customers such as there email address/address and number which is stored on the computer and i the filing system which is required.
As i am required to send emails and have access to the internet there is a small policy regarding my use of them during work hours, these being that i am not allowed to send personal emails or use social networking sites or any other sites for my own personal use during work hours. However the use of personal emails and personal sites can be used on my own time during breaks and lunch.All of the policies that i am required to follow are all listed in my staff handbook that i was given at the start of my work day
At Bartlett Property there are a few procedures that i must follow such as the the fire procedure,sending emails ,sorting emails etc

Fire Procedure: When there is a fire drill, i must leave the premises through the fire exits and wait in the designated area away from the building

Sorting Mail: When i sort the mail i have to date stamp each piece and put them in the relevant file. If that person is going to be away for a couple of days the mail will be passed on to the relevant person

Creating Emails: I have to put the property address in the subject box, if i am attaching documents i must attach the PDF document, once i have sent the email i then have to save it on the server Sdrive and save it to the relevant clients jobs folder and the mail shot
The values of Bartlett Property are that they ensure the business is conduced according to the highest ethical,professional and legal standards ( A copy of these values are find on the companies website)
1.8 Outline who you would consult if unsure about organisational policies,procedures,systems and values
If i was unsure about the organisations policies,procedures,systems and values i would consult my supervisor Vanessa,however i could also find them in my staff handbook and find them on the companies website
2) Understand how to work as part of a team to achieve goals and objectives
2.1 Explain the purpose of working with other people to achieve goals and objectives
The purpose of working with other people is because it builds strength, When working with others you are accomplishing more and it increases the efficiency of the task being produced, It also develops team building skills as when you work with others , you will find a range of different opinions and ideas which increases the productivity of the task as well as communication skills
2.2 Identify situations in which working with others can achieve positive results
There have been times when we have had to get something done in order to keep our clients happy such as when myself and Vanessa did a task together. I had to research potential occupies for the clients property to let, i collected data , specifying the address and the miles each company was away from that sites, Vanessa then contacted them by emailing or phoning them, this in turn didn't take long and we got the task done efficiently achieving positive results
2.3 Explain the purpose and benefits of agreeing work goals and plans when working with others
The purpose of doing this is so everybody working towards the same goals therefore we can all agree on the best course of action to deliver the work at the best quality .It also allows us to discuss the tasks and decide how to handle it, Everybody can pitch in with there ideas ,which builds strength of the team.
The other purpose of agreeing work goals and plans is it is a great way of communication with your pees and getting to know how you are doing and what you need to improve upon as well as getting support.By working with others, you are showing great team sills and communication skills and by doing this you will get the task done more efficiently as well as getting to know your peers
2.4 Describe situations in which team members might support each other
Team members might support each other if someone is struggling with a particular task by explaining what needed to be done, they may offer some support, or if there is a new staff member the staff may show her around and support her with any task that she may not be familiar with or have an understanding of. They may also support each other if they are working in a group and there is a deadline to meet.
2.5 Describe ways of providing support to other people on a team
You can provide support to people in a team by helping them out with particular task that they are struggling with or showing the how to do a task that they have been asked to do , you can also show support by helping them out with a personal problem such as conflicts etc...
2.6 Explain the purpose of agreeing quality measures with a team
The purpose of agreeing quality measures within a team is because everybody works differently and at different paces. Quality measures are agreed so each member of the team will have to work at the same level so they can all produce the work to a high standard. The team members can also communicate effectively and know what each team member is doing and have a rough idea of when they are going to be finished
3.Understand how to communicate as part of a team
3.1 Explain the purpose of communicating with other people in a team
The purpose of communicating with others in a team is so you can have a better understanding of each other and create better relationships with others, if there is no communication then the organisation would break down as noone will understand what needs to be done, what is being done or has been done. Communications allows individuals to speek freely and share ideas:it also allows you to know what others are doing.
3.2 Identify different methods of communication and when to use them
There are all types of communication that are vital to the workplace. Communication is not always about using your voice, it is also about using your body language and using technology. Commutations types are split into 3 different categories these are:

Written communications
Verbal communications: Is the first and main types of communication we use in everyday life:it involves speaking face to face,over the phone,leaving voicemail's etc. Speaking is something we do naturally.
Non-Verbal communications: Is posture/body language and eye contact, these types of communication would mainly be used in meetings , especially eye contact and this shows if you are interested and also paying attention, Body language is very important as it represents you as a person, you mostly use your body to talk,if you sit there slouched and fidgeting you are not paying attention
Written communication: is emails and letters and faxes which you may use everyday especially in a business, this is used to send messages across a wide range of people internally and externally
4. Understand the contribution of individuals within a team
4.1 Explain the purpose of recognising the strengths of others
The purpose of this is that it shows members of staff that you acknowledge what they do and what they are capable of doing, if you start placing people in jobs that they struggle with it will show in there work and the department will suffer as a result, by recognising there strengths of others you can place them in suitable jobs where you will know they will work best and they will enjoy it to
4.2 Explain the value of diversity within teams
Diversity within teams refers to different kinds of people in the team, having diversity in the team increases the performances as each individual gets to contribute their strengths and any weakness are supported
4.3 Explain the purpose of respecting individuals working within a team
The purpose of this is because it shows that you appreciate them for the way they work and the work they produce, showing respect makes the individual feel valued and appreciated and it makes the teams atmosphere a lot better to work in.When the individuals working within the team are respected they tend to work harder to achieve their goals. The purpose of respecting them is very beneficial as you know that they will be happy to help but you also now you can trust them to deliver outstanding work on time.
5. Understand how to deal with problems and disagreements
5.1 Describe the types of problems and disagreements that may occur when working with other people in a team
There are many different types of problems and disagreements that can occur at the work place when working with others such as:

Having different opinions: Everybody in a team will have different opinions and sometimes a persons(s) in that team will agree or disagree with someones opinion which could cause tensions in the group

Being dishonest with each other about yourself/tasks

Having different working methods
Disagreements usually only occur when you don't listen to each others point of view and you don't respect them
5.2 Describe ways of dealing with problems and disagreements when working with other people on a team
The best way to deal with any problems or disagreements is to listen to what people have to say and respond in a calm and professional way, be able to own up to any mistakes you may have made, it is better to own up then be dishonest about what you have done
6 Understand the purpose of giving and receiving constructive feedback
6.1 Explain the purpose of giving and receiving constructive feedback
It helps the organisation improve,but it also helps the staff know what they need to improve on,and how they cn improve
6.2 Describe ways of using feedback to improve own work, and a team as a whole
You can also use feedback to improve your own and team work, as feedback allows you to realise what employees think about your work, the way you approach the work and it allows you to change it. Feedback also improves the team performances as you can see and analyse how you need to improve.
